Responsibilities:

  • Guide managers in the process of procurement activities in line with UNICEF policies and guidelines.
  • Facilitate contract processing for consultants and external partners, including document preparation, filing, and logistical arrangements.
  • Maintain up-to-date vendor lists, partner databases, and consultant rosters.
  • Manage communications and workflow to enhance operational efficiency.
  • Maintain office calendar, arrange meetings, and take minutes as required.
  • Support capacity development activities and conferences by making logistical arrangements.
  • Provide travel assistance to staff members, including arranging travel and processing related documentation.
  • Manage invoice processing, including collection, filing, and verification of documents.
  • Support the management of administrative supplies, office equipment, and inventory.
  • Monitor staff attendance and maintain absence records.

Qualifications:

  • Completion of secondary education, supplemented by technical or university courses related to the field of work.
  • Minimum of 5 years of relevant administrative or clerical work experience.
  • Bachelor’s degree in a relevant field may replace three years of related work experience; master’s degree may replace additional two years.
  • Fluency in English is required. Knowledge of another official UN language or a local language is an asset.
