Program Coordinator

The Program Coordinator will be responsible for coordinating and contributing to ICMP’s internal and external coordination of grant proposals, including donor relations, managing the drafting of project proposals, donor reports and change requests and coordinating the required input for the drafting of budget proposals.

Grants Coordination:

  • ICMP focal and first point of contact for all grant management related questions and processes
  • Coordinates drafting of grant proposals and ensures proposals are delivered on time and in compliance with ICMP and donor requirements
  • Coordinates the drafting of donor reports across ICMP’s grant portfolio and ensures that donor reports are delivered on time and in compliance with ICMP regulations and donor requirements
  • Reviews and makes corrective suggestions to concept notes, grant proposal budgets, and staffing plans in line with with program activities
  • Ensures timely responses to all donors regarding current project operations and contract modifications – including both programmatic (narrative), and coordinates timely input from finance colleagues in relation to tranche payment requests, and budget related compliance
  • Coaches main and country program teams on donor grants application and reporting requirements
  • Leads the preparation of ICMP’s program and budget statements and relevant fundraising updates for ICMP’s Board of Commissioners


  • Collaborates with the Head PCI and Director General in implementing ICMP’s fundraising strategy including researching new donors and marketing ICMP’s unique services to potential funders
  • Coordinates inputs for ICMP program and budget statements and relevant fundraising updates for ICMP’s Board of Commissioners
  • Takes notes and distributes meeting to key internal stakeholders during the weekly fundraising meeting

Program Coordination:

  • Monitors the implementation of the activities and the meeting of reporting deadlines for the individual grants related to their geographical area of responsibility
  • Advises the Head PCI, Director General, Directors and relevant senior managers on grant policy issues, current events, potential external stakeholders and funding sources pertaining to their areas of responsibility
  • Coordinates provision of ‘on demand’ information to internal stakeholders on implementation status plan, gaps, challenges and achievements, in consultation with Heads of Programs

Other duties as assigned, such as:

  • In coordination with HR, provides new hire briefings on the grant process and overview of current ICMP grants
  • Trains staff on compliance with ICMP’s internal reporting system and donor requirements
  • Provides regular suggestions and inputs to support the communication team related to highlighting the global impact of ICMP’s work


Education level: post secondary:

  • Minimum of 7 years of relevant professional experience in grants, project management in a rule of law/human rights organization, or similar
  • Experience implementing project management techniques and MEAL practices
  • Proven writing and public speaking skills in English
  • Experience with numbers and ability to interpret budgets
  • Attention to detail, with the ability to meet deadlines and produce results
  • Excellent planning and prioritization skills, including the ability to think and operate strategically

Mandatory Requirements:

  • Professional fluency in English written and spoken
  • Knowledge of written and spoken Arabic or Spanish is considered an asset
  • Proficiency in Microsoft applications, including Word, Excel, Power Point, Outlook and Teams
  • Proven ability to interact positively with colleagues regardless of culture, nationality or gender
  • Ability to travel at short notice and to work flexible hours including weekends and evenings
  • Commitment to the underlying objective of helping the authorities and families of the missing to account for missing persons in an impartial and transparent manner.
