Job Description

Strategic Office Context:

The UNICEF program in Cuba is aligned with the goals and objectives of the 2030 Agenda for Sustainable Development and the United Nations Cooperation Framework for Sustainable Development 2020–2024. The program focuses on priority areas identified in consultation with national entities and aligns with the Sustainable Development Goals and UNICEF’s Strategic Plan 2018–2021.

The Purpose of the Job:

The Administrative Assistant (G-5) will support the program effectiveness component within the CO Operations Team. This role involves program coordination, logistics, procurement, monitoring and evaluation, communication, gender mainstreaming, resource mobilization, knowledge management, and disaster preparedness and response.

Key Responsibilities:

  1. Procurement for Services:

    • Facilitate the processing of contracts for external partners providing services to the section.
    • Maintain vendor lists, partners, and rosters of providers.
    • Provide administrative support for the strategic procurement vision.
  2. General Administrative Duties:

    • Facilitate communications and workflow within the organizational unit.
    • Maintain the Operations administrative digital site and ensure the accuracy of intranet websites.
    • Support common premises activities and needs.
  3. Events/Logistics:

    • Make logistical arrangements for capacity development activities and conferences.
    • Liaise with budget focal points and sections over costs and needs.
    • Prepare and maintain agendas for meetings and events.
  4. Travel:

    • Provide travel assistance to staff members, including arrangements and entitlements.
    • Assist in the preparation of travel budgets and monitor travel certification.
  5. Invoice Processing (Backup):

    • Collect and file invoices for approval and processing in Vision.
    • Liaise with GSSC on case follow-up.
  6. Property Management, Office Equipment, and Vehicles:

    • Support the management of administrative supplies, office equipment, and inventory.
    • Monitor the use of supplies and ensure services and maintenance meet organizational standards.
    • Coordinate fleet supervision under the guidance of the operations officer.

Qualifications and experience:

  • Completion of secondary education, supplemented by technical or university courses related to the field.
  • Minimum of 5 years of relevant administrative or clerical work experience.
  • Fluency in Spanish and English.
