uFiling Login is the procedure by which you access the uFiling online service from UIF. Unemployment Insurance Fund (UIF) provides temporary assistance to people who become jobless or are unable to work due to illness, maternity leave, or adoption leave. It also gives assistance to a dead contributor’s dependents. This page provides information about the online system and uFiling login procedure.

What exactly is uFiling?
uFiling is a FREE online tool that allows you to submit UIF declarations and make monthly payments in a safe manner. Employers of Domestics, Commercial Employers (SMME), and Tax Agents can complete and submit monthly UIF declarations and securely pay UIF payments using the Internet.

What are uFiling’s benefits?

The UIF is giving away uFiling for free. Online is a quick and easy way to file UIF returns. Other benefits include how easy it is to make secure payments (via Internet Banking’s Debit Order and Credit Push) and how fast processing times are. uFiling doesn’t use paper, and submitting a declaration is fast and safe.

 

Can I also use uFiling for other kinds of tax returns?

No, uFiling is only used for UIF contributions and declarations.

 

How do I make my uFiling account work?

Go to www.uFiling.co.za or www.ufiling.gov.za to find out more. Click the “Activate my uFiling account” button on this home page and then follow the on-screen instructions.

Please make sure you have the following information on hand;

For Employers of Domestic Help:

Your valid UIF registration number, your valid 13-digit barcoded RSA identity number or passport number, a valid e-mail address, and the details of the bank account from which you will pay your UIF contributions.

For Business Employers:

Your valid UIF registration number, your valid RSA identity number or passport number, a valid e-mail address, your company’s official registration name and details as provided by the Registrar of Companies, which is the CK1 form for CC’s and CM1 or CM3 for Proprietary Limited companies, and finally, the details of the bank account from which you will pay your UIF contributions.

How much does the uFiling Service cost?

uFiling is a free service, but if you use the payment options to pay off your UIF liability, your bank will still charge you the agreed-upon fee for transactions.

 

 

 

How do I sign an electronic tax return?

Each uFiling submission has an electronic signature built in. Legally, a return sent through uFiling is the same as a signed paper return. So, you don’t need a signature on an electronic return you send in through uFiling.

Can I only use uFiling to send in my current tax returns? What about returns from the past that haven’t been sent in?

For the past four years, you can use uFiling to send in all of your unfinished tax returns. The Act says that an employer has to send in returns every month, and you may have to send in and pay for more than one return.

Can I see information about my returns and payments from the past?

Yes. uFiling keeps a record of both tax returns and payments for at least five years. Only returns and payments made through uFiling are affected. So if you’re a new user, uFiling won’t show what you did before.

 

Can I take back a return I sent by mistake?

The return is still open until it is paid. Under “Returns History,” you can make as many changes to your return as you need until it is paid. If a payment was made, the return cannot be taken back because of how bank transactions work. To make a change to a previous declaration period, you can send in a change during the next month’s declaration period.

Confidentiality
Who will be there to see me?

All data sent and received by this service is encrypted so that no one else can get to it without permission. The encryption for electronic payments that your bank handles is done by your bank. The information is kept in a safe way on our host system, and you and the uFiling Call Centre are the only ones who will be able to access it. Read our Privacy Statement to learn more.

What steps have been taken to protect the privacy of information on uFiling?

We do everything we can to keep the information about UIF contributors secret. All of the messages we get are encoded. Before we can process a return, it has to meet strict rules and standards for identifying itself. If it doesn’t, the form is not accepted. Read our Privacy Statement to learn more.

What stops the UIF uFiling Call Centre staff from sharing my information if they have access to it?

The people who work for UIF uFiling sign a Confidentiality Agreement, and UIF keeps this document. The ICT Act also has strict rules for our employees. It is against the law for them to give taxpayer information to someone who is not allowed to have it.

Payments
Can I use more than one bank account to pay UIF?

No, you can’t put money into a single UIF account from different bank accounts. You can set up multiple bank accounts in uFiling, and when you pay, you can choose which account to use.

How do I connect uFiling to my Internet Banking account?

As soon as you get confirmation that your uFiling account is up and running, you can load your banking information under “Employer” and “Bank Account Details.”

Does any bank accept transactions with dates in the future?

All of the major banks let activated uFilers do transactions with dates in the future. Note, though, that ABSA Direct doesn’t allow transactions with dates in the future, and Standard Bank Business Online (CATS) requires transactions to be made on the same day they are made.

Can I use uFiling to pay late fees and interest?

No, penalties and interest can’t be paid through uFiling. Please contact the UIF directly to get the correct amounts for penalties and interest. The UIF will then give you the right account number and reference number to use when paying fines and interest.

Do I need to be signed up for uFiling before I can send payments?

Yes, you need to be activated on uFiling in order to send in your UIF declarations and payment contributions.

Can a UIF contributor who has been activated pay for another UIF contributor?

No, but a user can manage other Domestic Employers and Commercial Employers if they sign up as an Agent. This includes the ability to receive monthly declarations, submit declarations, and pay contributions on behalf of these Employers.

Can I make the first payment for less than I owe?

No, the system figures out how much UIF is due based on the employee’s salary (s).

How does the UIF make sure that payments made by hand match up with online UIF returns?

When a UIF declaration is made online, the reference information is saved and a debit is made on the account of the UIF contributor. When the payer makes a manual payment, they must make sure that the correct reference number for the declaration period is given. When the contribution is paid, the following must be given as the reference number: (UIF Reference Number and the contribution period year and month – YYMM) Typical example: (9999999 0906). When the UIF gets their bank statements, they will look at the reference number and compare it to the reference number on the online declaration that the uFiler made. Based on the reference number, the UIF system will add a credit to the same UIF contributor’s account, which will cancel out the first debit details.

Can I make payments to the UIF with my credit card?

No, UIF will only take payments through a debit order or a credit push from an online bank account.

Tax Agents
I am a tax agent. What services am I able to use?

You can sign your client up for uFiling or, if they’ve already done so, you can log in to their account and do all of the regular uFiling tasks for them (as per your own agreements and privacy policies with your client.) You can also add your clients (both Commercial Employers and Domestic Employers) to your Agent profile and use uFiling on their behalf.

How do I add my clients?

Once you have activated your Agent account and been verified by uFiling as an Agent, you can sign up your clients to use uFiling. Once the UIF reference number has been entered correctly, the request for activation is processed right away. Once the accuracy of the information you submitted has been confirmed, you will receive an email. Then, uFiling will be turned on for your client.

Will the information about my clients that I store be safe?

The latest data encryption technologies are used on the uFiling site. If and when your personal information needs to be sent to the UIF or any of the banking institutions, uFiling will take all reasonable steps to keep that information safe. Regular inspections are done to keep an eye out for security breaches, and if they happen, the right steps are taken to fix them. UIF is not responsible, however, if Agents or third parties break security. UIF is also not responsible for the privacy policies of Agents and/or third parties or how information is handled by these third parties.

Will anyone else be able to see the information I keep on my clients?

As the Tax Agent for your client, you can choose to let them see their account information. Consultants from uFiling will be able to see your client’s personal information in order to help them. It is your job to make sure that your clients know all of these things. For more information, please look at the uFiling Privacy Policy.

How will my clients make their UIF payments?

Your clients can pay their UIF contributions with the help of uFiling’s payment tools for UIF contributions. When the payment is processed, the uFiling system makes sure that the UIF contributions have the right references. Both Debit Order payments and Internet Banking Credit Push payments can be made through uFiling.

Can I set up uFiling’s security myself?

Yes. As a Tax Agent, you can use the “User” – “Amend Rights” menu to give your clients specific access. You can also add more users to your agency and give them different levels of access.

Will I be able to see all of my clients’ information in one place?

No. There are a number of reconciliation and statistical reports on specific employers

Can my clients also see the information about them?

As your client’s Tax Agent, you can choose to let them look at their account information to help them.
