Role Overview:

We are seeking an Administration Coordinator to join our team in Zimbabwe. Based in Harare, this role will play a vital part in ensuring efficient and effective operations across various organizational functions. The Administration Coordinator will collaborate with the management team and other staff members to support program implementation, logistics, administration, and overall organizational effectiveness.

Responsibilities:

  • Implement procurement strategies and policies in compliance with organizational guidelines.
  • Conduct market research, identify potential suppliers, and maintain a database of reliable vendors.
  • Coordinate the procurement process, including drafting RFQs, evaluating supplier proposals, and negotiating contracts.
  • Monitor procurement records and documentation for auditing and reporting purposes.
  • Maintain inventory of project assets and equipment.
  • Forecast logistics needs and ensure timely availability of resources.
  • Address logistics challenges and propose solutions for improved efficiency.
  • Establish and maintain relationships with suppliers and vendors.
  • Monitor vendor performance and quality.
  • Develop and implement safety and security policies and procedures.
  • Conduct safety and security training for staff members.
  • Assist in negotiating and managing contracts with medical aid providers and insurance companies.
  • Oversee staff welfare benefits administration processes.
  • Liaise with government agencies for work permits and visas for international staff.

Qualifications:

  • Bachelor’s degree in a relevant field (e.g., business administration, supply chain management).
  • 2-3 years of experience in operations management, preferably in an NGO or similar environment.
  • Familiarity with supply chain management principles and logistics planning.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Commitment to the mission and values of the NGO.
