Purpose of the Job: The Assistant provides administrative support to staff, including travel arrangements and secretarial assistance in project preparation.

Accountabilities and responsibilities:

  • Screen telephone calls, take messages, and pass them on as appropriate, providing professional front-of-house service.
  • Distribute mail and send out fax messages, ensuring the correct correspondence reaches the appropriate EBRD staff member.
  • Manage the diaries of bankers if required to assist with the smooth running of the office and key stakeholders’ schedules.
  • Proofread and draft routine business correspondence for the banker’s signature; edit, photocopy, scan, and bind documents.
  • Organize conference calls, video conferences, and external and internal meetings.
  • Make travel arrangements for various business trips, including visa arrangements and preparation of ECFs, and follow up on the reimbursement process.
  • Provide administrative support in project preparation, due diligence, and monitoring.
  • Maintain a filing system to ensure instant retrieval of up-to-date information.
  • Assist in organizing workshops and seminars; prepare presentations for internal and external meetings.
  • Work with visiting missions in related areas.
  • Ad hoc secretarial and administrative duties when required.

Knowledge, Skills, Experience, and Qualifications: Academic Qualifications:

  • Higher education.

Experience/Knowledge:

  • Secretarial and administrative experience are essential.
  • Good organizational skills and a proactive and flexible attitude toward work are essential.
  • Ability to prioritize their own work and work on their own initiative.
  • Good communication skills, including a pleasant and efficient telephone manner,.
  • Attention to detail and an eye for accuracy.
  • Ability to cope well under pressure.
  • Ability to build effective working relationships with clients and colleagues in a multicultural environment.
  • Conscientious, reliable, and flexible with a professional and helpful attitude.
  • Strong team player with the ability to work efficiently and handle simultaneous assignments involving a wide range of bank-wide contacts.
  • Willingness to work overtime as required.
  • Ability to multi-task while remaining calm and professional.
  • Excellent interpersonal manner, including tact and diplomacy.
  • Ability to exercise judgment and deal discreetly with confidential/sensitive information.
  • Excellent timekeeper.

Technical Skills:

  • Computer literate: Windows XP, Microsoft Outlook, Word, Excel, PowerPoint.
