Job Description: The Economic Commission for Africa (ECA) is seeking a qualified Administrative Assistant to provide comprehensive administrative support to the department/office. The incumbent will be responsible for performing a variety of administrative tasks to ensure the smooth functioning of the office.

Key Responsibilities:

  1. Provide administrative support to the department/office, including managing correspondence, scheduling appointments, and arranging meetings.
  2. Prepare and maintain documents, reports, and presentations as required.
  3. Assist in organizing conferences, workshops, and other events, including logistical arrangements.
  4. Coordinate travel arrangements and process travel requests for staff members.
  5. Maintain office supplies inventory and ensure timely replenishment.
  6. Assist in budget monitoring and expenditure tracking.
  7. Handle incoming calls and inquiries, redirecting them as necessary.
  8. Maintain filing systems, both electronic and physical, ensuring efficient document retrieval.
  9. Assist in the orientation of new staff members, providing administrative support as needed.
  10. Perform any other duties as assigned by the supervisor.

Qualifications:

  • High school diploma or equivalent is required. Additional training or certification in administration is desirable.
  • A minimum of six years of relevant experience in administrative support roles.
  • Proficiency in computer applications such as MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong communication skills, both written and verbal.
  • Ability to work effectively in a multicultural environment and establish harmonious working relationships with colleagues.
  • Attention to detail and accuracy in work.
  • Ability to work independently with minimal supervision.
