Purpose of the Job:

The Receptionist role at EBRD involves providing secretarial, clerical, and administrative support to Resident Office (RO) staff to ensure efficient office operations. Acting as the first point of contact, the Receptionist handles general inquiries, answers phone calls, greets visitors, and ensures office activities run smoothly.

Accountabilities and Responsibilities:
Reception (75%):

  • Screening incoming telephone calls, directing calls to appropriate personnel, and taking messages.
  • Greeting and receiving visitors, determining nature of business, and accompanying visitors to appropriate personnel.
  • Dealing with general inquiries in person, on the telephone, or via email in a professional manner.
  • Preparing meeting rooms and arranging passes, as needed.
  • Assisting visiting missions if required.

Clerical/Administrative (25%):

  • Arranging couriers, sorting and processing mail for RO staff.
  • Scanning, copying, and sending documents.
  • Maintaining archives and filing, scheduling appointments, and organizing conference/meeting room bookings.
  • Providing assistance to Bankers, organizing and registering driver schedules, and other ad hoc administrative tasks as required.

Knowledge, Skills, Experience, and Qualifications:

  • Minimum secondary education, university preferred.
  • Previous experience in a receptionist/secretarial capacity.
  • Familiarity with office equipment and computer literacy (Microsoft Word, Outlook).
  • Good verbal communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Multilingual – English plus relevant country language.
  • Smart appearance, time management skills, and cultural awareness.
