The Beijing-based Country Management Unit (CMU) oversees engagements with China, Mongolia, and Korea, and is seeking a Senior Executive Assistant to provide comprehensive administrative and executive support to the Country Director and department management team.

Duties and Responsibilities

Executive Assistance to the Country Director

  • Manage the Country Director’s schedule, travel arrangements, and day-to-day workflow.
  • Prioritize and resolve conflicts in scheduling and competing demands.
  • Coordinate invitations and monitor official email correspondence.
  • Draft correspondence, presentations, and meeting minutes.
  • Liaise with senior officials, internal and external stakeholders.
  • Ensure management decisions are communicated and executed effectively.

Management of Beijing Office ACS Team

  • Supervise and coordinate Administrative and Client Support (ACS) staff.
  • Conduct performance evaluations and provide feedback.
  • Allocate work and ensure operational efficiency.
  • Serve as a mentor and focal point for ACS activities.
  • Coordinate with HR and other units on recruitment and processes.

Senior Visits, Events, and Annual/Spring Meetings

  • Support leadership team for senior visits, including agenda management and correspondence.
  • Assist in the production of Briefings for Annual and Spring Meetings.
  • Organize CMU events and provide logistical support.

Coordination with Mongolia and Korea Country Offices

  • Coordinate program and schedule with counterparts in Mongolia and Korea.
  • Plan travel and activities for the Country Director’s visits to these locations.

Selection Criteria

  • Bachelor’s degree or equivalent experience, preferably in international development.
  • Previous experience in staff management or supervision preferred.
  • Ability to handle sensitive and confidential matters with discretion.
  • Excellent interpersonal and communication skills in English and Chinese.
  • Strong organizational and time management abilities.
  • Initiative, drive for results, and flexibility in a fast-paced environment.
