The Uganda Office of the World Bank is seeking a highly organized and experienced professional to serve as the Senior Executive Assistant to the Country Manager and to lead and manage a team of Administrative and Client Support (ACS) staff.
Duties and Accountabilities
- Act as the first point of contact to the office of the Country Manager, representing the office and liaising with internal and external stakeholders.
- Manage the Country Manager’s schedule, prioritizing tasks and resolving conflicts.
- Lead the Administrative and Client Support (ACS) team, overseeing office support work and coordinating workflow.
- Supervise ACS staff, including recruitment, onboarding, coaching, and performance management.
- Coordinate training initiatives for ACS staff, assessing and addressing their learning needs.
- Provide research support and utilize relevant computer software to maintain data.
- Independently respond to inquiries, coordinate multiple work processes, and monitor activities to ensure timely delivery of outputs.
- Act as Secretary to front office and staff meetings, facilitating official processes and managing correspondence flow.
- Draft and finalize correspondence on behalf of the Country Manager and prepare meeting minutes as required.
- Collaborate with the front office team and other units within the World Bank Group.
Selection Criteria
- Preferably college diploma, with candidates holding a Bachelor’s degree in business administration or social sciences having an advantage.
- Minimum of seven years of relevant experience, with extensive knowledge of World Bank Group processes, policies, and procedures.
- Experience in dealing with senior officials within and outside the Bank, previous exposure as an Executive Assistant preferred.
- Strong oral and written communication skills, interpersonal abilities, and judgment.
- Excellent organizational skills, multitasking abilities, and ability to prioritize tasks under tight deadlines.
- Total discretion, confidentiality, and strong personal ethics.
- Proactive, resourceful, and flexible, with a positive attitude and ability to maintain composure under pressure.
- Coaching and mentoring skills, ability to create a positive team environment.
- Proficiency in Ms Office, SAP, and other relevant computer software.
- Analytical, research, problem-solving skills, and high degree of independence and reliability.
- Flexibility with working hours and willingness to work overtime.
