Summary:

UNHCR is seeking a Clerk to provide clerical and administrative assistance to the office in Port Sudan, Sudan. The incumbent will maintain records, manage office facilities, handle correspondence, and perform general clerical tasks. This role requires organizational skills, attention to detail, and proficiency in computer literacy.

Key Responsibilities:

  1. Clerical Support: Provide general clerical support to the work unit and visiting staff members. Prioritize incoming correspondence, reports, etc., and direct them to responsible staff members as necessary.

  2. Record Management: Maintain records in the work unit, create files for correspondence and reports (including confidential files), and arrange and forward records for archiving. Maintain an inventory of stationary items and ensure a well-stocked office.

  3. Facilities Management: Manage conference room bookings and ensure facilities are prepared for meetings. Organize and maintain mail delivery (Pouch) and tracking system between offices.

  4. Administrative Tasks: Maintain calendars of appointments and schedules for the supervisor, complete travel authorization requests, stationery request forms, etc.

Minimum Qualifications:

  • High School Diploma or Bachelor’s degree or equivalent.
  • Minimum of 1 year of relevant experience.

Desired Qualifications:

  • Experience with humanitarian agencies or NGOs.
  • Familiarity with financial documents, filing, archiving, and scanning.
  • Proficiency in IT-computer literacy.

Language Requirements:

  • Knowledge of English and/or UN working language of the duty station.
