About the Organization: The Executive Office of the Secretary-General (EOSG) serves as the primary support unit for the Secretary-General of the United Nations, providing administrative, logistical, and coordination support to facilitate the execution of the Secretary-General’s mandate.

Position Summary: The Executive Office of the Secretary-General is seeking a Staff Assistant to provide administrative and clerical support to the office. The Staff Assistant will assist in various administrative tasks, including scheduling appointments, maintaining records, preparing correspondence, and coordinating meetings and events.

Key Responsibilities:

  • Provide administrative support to the office, including managing calendars, scheduling appointments, and making travel arrangements.
  • Assist in the preparation of correspondence, reports, and other documents, ensuring accuracy and adherence to established formats and guidelines.
  • Maintain office records and files, both electronic and hard copy, ensuring timely and accurate documentation and retrieval of information.
  • Coordinate logistics for meetings, conferences, and other events, including arranging venues, preparing agendas, and coordinating participant travel and accommodations.
  • Assist in the coordination of inter-departmental activities and communication, facilitating collaboration and information exchange as needed.
  • Respond to inquiries from staff, visitors, and external stakeholders, providing information and assistance in a courteous and professional manner.
  • Perform other administrative tasks and duties as assigned by the supervisor.

Qualifications:

  • High school diploma or equivalent is required. Additional training or certification in office administration or related field is desirable.
  • At least six years of relevant administrative experience, preferably in a multinational organization or similar setting.
  • Proficiency in using computer applications such as MS Office (Word, Excel, PowerPoint) and electronic scheduling systems.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Strong interpersonal and communication skills, with the ability to interact professionally with staff at all levels.
  • Attention to detail and accuracy in work, with a commitment to maintaining confidentiality and discretion in handling sensitive information.
  • Fluency in English is required. Knowledge of other official languages of the United Nations is an asset.
